Questions Related to the Summit's Postponement

Will my hotel reservations transfer to the new date (October 19-23)? 

If you booked through the Summit website, that is, RTS, the Summit's Moroccan-based event company, your reservations will transfer and you will not need to pay a transfer fee. 

If you booked on your own, you will need to contact the hotel directly.  


I cannot attend when it is rescheduled, can I get a refund? 
While we cannot process refunds, we can transfer your ticket. If you'd like to transfer your ticket to a colleague, please email info@sbccsummit.org by September 4.  


What do I do about my airline tickets?  
Most airlines provide an option to change the dates on a ticket for a small fee. Currently, a number of major airlines are waiving this fee in the context of COVID-19. It is important that you change your tickets prior to the current date of travel. We expect to provide the new dates for the Summit within the week.  


I'm supposed to present at the Summit but will not be able to attend in October. What can I do? 
We hope that someone involved in your work will be able to attend and present in your place. Please contact program@sbccsummit.org to make changes.  


Will my auxiliary event time and exhibit booth location still be honored? 
Yes, everything that was in place for March/April will happen October 19-23.


I had my poster printed by RTS in Morocco. Will it be stored safely?  
Yes, your poster will be securely stored and waiting for you in October. No action on your part is needed.


Will you be accepting additional abstracts/proposals?  
There are no plans to re-open the abstract/proposal process.


Why are you postponing if there are so few cases reported in Africa? 
There is now one confirmed case in Morocco. The decision to postpone was taken by the Secretariat, in consultation with the Moroccan Ministry of Health. Travel has become increasingly difficult in many parts of the world and it is uncertain what situation will be four weeks from now. Many organizations have banned their staff from international travel. Additionally, many attendees, as part of the public health community, are needed in their home countries as outbreak-related communication responses are prepared.


If I need to reapply for my Visa, where can I get an updated visa invitation letter?  
For questions about processing your visa, please send your full name as it appears on your passport, passport nationality, passport number and corresponding passport expiration date to soumaia.cheqrouni@rts.co.ma for your personalized invitation letter.

Abstracts/Proposals




How do I change the title/speaker/other information in my accepted abstract on the program?

When were abstract decisions announced? 

Abstract notifications began on January 17 and continued through January 24.


Can we present papers used for a thesis? 
If the work is SBCC-centric and a connection can be made to the Summit Themes, we would encourage you to submit for consideration! Please think carefully about the best fit in terms of format. Proposal reviewers will have the final say regarding acceptance, so be sure to use the webinar tips to create a strong submission.


Where can I view the proposal/abstract webinar recordings? 
You can find all of the recordings here.


Will we be able to propose a double session skill building format?
The Skills building session time slot is 2 hours. Given the popularity of these sessions, space limits, and in an effort to encourage broad participation, the answer is no.


Are there word limits on the abstracts? 
Yes. It is spelled out in the guidelines and in the submission template/portal.


Can I began an abstract and finish it later?
Yes. You can save your work and return later to work on it, and submit.


What if we don't have conclusions or research findings yet but will have them in time for the Summit? 
You are welcome to submit - your proposal will need to convey the potential implications of the work even without findings. Depending on the strength of your submission, reviewers may still accept it.


Will you connect presenters if you think the topics could be linked together for a different type of session?  
The review committees will do their best to cluster relevant work in the creation of the sessions. This work depends on a strong pool of reviewers – please consider being a reviewer! 


If we submit for a pre-formed panel and are not accepted, would it be possible for individual abstracts from that panel to be submitted
and if they meet criteria, would they be accepted?  

If not accepted, preformed panels are not automatically considered for individual proposals as preformed panels should not just be a set of presentations. There should be a strong justification for why they are combined into a single session resulting in an experience for the conference goers that is greater than the sum of the parts.


Does the Summit focus on research from low- and middle-income countries, or is work from high-income settings be relevant?
The Summit is not limited to LMIC work. Please feel free to submit relevant work from high-income settings for review.


Is attendance only open to presenters? 
No, attendee registration is available here.


If the abstract is accepted, how many presenters are allowed to come to the conference? 
Abstract acceptance does not eliminate the cost of registration/attendance.


In the online portal - how much information is required at submission from co-authors? 
Also, I plan to include co-authors on the abstract but they do not plan to attend the conference. Is that OK?  Additional authors do not need to create an account. Additional authors do not need to attend the conference if accepted.  


Can I submit more than one abstract? 
Yes. Feel free to submit as many proposals/abstracts as you like, but know that in the interest of achieving the broadest possible representation and participation in the Summit, the Program Sub-Committee will not select more than two submissions from any one person as lead author or session organizer.


Can I submit a proposal and be a reviewer? 
Yes! And it is encouraged. It is a great way to see what is happening in the field, and reviewers will be matched with submissions in their area.


Do we need to be affiliated with an organization to be accepted as a participant/presenter? 
You do not need an organizational affiliation.


Once I receive a notification that my abstract is accepted, how do I confirm that I plan to present?
To confirm that you would like to present, please be sure to RSVP through the Summit website. Login with the same email address and password you used to submit your abstract here. After you login and are on your profile page, you will see a toggle next to the phrase, "RSVP to the Event". Click on that toggle to turn it from No (red) to Yes (green) if you plan on attending. If not, please leave it as no.


Discounts

Are there discounts? 
Early-bird registration is sold out. However, reduced rates are available to LMIC practitioners, young professionals and students. Details are available
here.

Are there group discounts? 
Groups of ten or more receive a 10% discount that is automatically applied during check out.

Are fellows eligible for the student rate? 
Yes.


Languages

What language will the Summit be held in? 
English is the primary language of the Summit. However, there will be Arabic, French and Spanish interpretation available during all plenary and some breakout sessions. Important documents and information will be translated into Arabic, French and Spanish.

Will you accept abstracts in multiple languages? 
Abstracts will be accepted in English, French and Spanish.


Logistics

When is the 2020 Summit? 
The 2020 Summit will be held from October 19 to October 23.

Where will the Summit be held?
The Summit will be held at the Palais des Congrès in Marrakech, Morocco.

What is the Youth Space? 
The Youth Space is an area dedicated to young professionals (and those young at heart!) to gather, share ideas and connect informally.

What is the Spark Stage? 
The Spark Stage will be a focal point in the exhibition space where innovative, creative and thought-provoking short presentations that "spark" new conversations will be given throughout the day.

How can I register for the Summit?

Who will be attending the Summit? 
The Summit will connect the many individuals and organizations working in social and behavior change, including donors and those working in media for development, health education, communication for development, social marketing, advertising, research agencies, community development, academic institutions, and ministries of health, gender, social welfare, education and other sectors.

What is the cost? 
The general admission rate is U.S. $725; the rate for attendees from low- and middle-income countries, young professionals and students is U.S. $575. Early-bird registrations are sold out.

What is included in my registration? 
The registration fee includes full access to the Summit program including breakout sessions, keynotes, exhibition hall, etc. It also includes breakfast, lunch and coffee/tea breaks. Lodging and transportation and any activities outside of the main Summit program are not included.

Do I need to purchase a ticket if I am a presenter? 
Yes, if you plan to attend the Summit, you must purchase a ticket.

Can I get a refund if I cannot attend? 
There are no refunds, however you can transfer your ticket to another person. Please email info@sbccsummit.org if you have questions.

Given the COVID-19 outbreak, I'm concerned about traveling. Can I get a refund? 
There are no refunds, however you can transfer your ticket to another person. Please email info@sbccsummit.org if you have questions.

Can I get a refund if you cancel because of the outbreak?
If we do have to cancel, the organizers will do whatever we can to negotiate a postponement with the venue and associated hotels. However, in the event that the conference cannot be held or is postponed due to events beyond the control of the Summit organizers (force majeure) or due to events which are not attributable to wrongful intent or gross negligence of the Summit organizers, the Summit organizers cannot be held liable by attendees for any damages, costs, or losses incurred, such as transportation costs, accommodation costs, costs for additional orders, financial losses, etc.

Under these circumstances, the Summit organizers reserve the right to either retain the entire registration fee and to use it for a future conference, or to reimburse attendees after deducting costs already incurred for the organization of the Summit and which could not be recovered from third party vendors.

My visa was rejected. Can I get a refund?
Our policy is no refunds, but if you provide us with documentation, we will we consider it on a case-by-case basis.

Scholarships


Are there scholarships? 
The Summit Steering Committee will award a limited number of scholarships of varying levels for applicants from or working in low- and lower-middle-income countries. Scholarship applications are closed. Those who applied will be notified February 3 (this date was previously January 21.) Check our scholarships page or sign up for updates to learn the latest. 

Do I need to have my abstract accepted to be eligible for a scholarship? 
Candidates are encouraged to submit an abstract via the Call for Abstracts page. However, this is not a requirement for becoming eligible for a sponsorship award.
